Reservations And Finances

Reservation of space on a Himalayan Gap program requires a non-refundable deposit of US$500, payable by bank transfer or by check only. Instructions for payments will be displayed immediately following the transmission of your application material. We will invoice you for the balance, which is due 60 days prior to your course start date. Applications filed within 60 days of program start date must be accompanied by full payment. There is no final deadline for submitting applications.

* Transportation between Kalimpong & Delhi (we will pick you up at the Airport in New Delhi and transport you to Kalimpong and will do the same on your return)

Not Included In The Price Of The Core Program are personal expenses such as visa fees, medical fees, cost of evacuation, airport taxes, health and travel insurance. The cost of international air fare is not included in the price.

Price For The Everest Region Trek Includes

* Airport transfers in Nepal
* Scheduled hotel nights in Kathmandu
* Scheduled meals in Kathmandu
* All meals & accomodation while on the trek
* Porters, sherpa guides, permit fees

Not Included In The Price Of The Everest Region Trek

* Items of a personal nature (personal gear, telephone calls, laundry, etc.)
* Airfares: Delhi-Kathmandu-Delhi & Kathmandu-Lukla-Kathmandu
* Staff/guide gratuities
* Medical rescue insurance

Cancelled Program

Himalayan Gap reserves the right to cancel any program if there are insufficient registrations and the program is not economically feasible. A full refund will be granted for canceled programs that arise out of insufficient registration, though Himalayan Gap is not responsible for other costs incurred by clients preparing for their travel to India.

Fluctuation In Exchange Rate

Before booking and not less than 30 days prior to the program start date the prices featured may change. We reserve the right to impose surcharges once you have booked but no surcharges will be imposed within 30 days of the program start date and any downward revision in the price will be refunded to you. Surcharges will only be imposed for variations in the exchange rates applied to the booking. Price increases and surcharges will be calculated according to the full extra cost compared to the costs obtained when this web page was produced and using an exchange rate of US$ 1= Indian Rupees 44.71. In any event we shall absorb the first 2% of any such surcharge. Any increase to the price that exceeds 10% of the total program cost will entitle you to a full refund of the program cost.

Refund Policy & Notice Of Cancellation

There is no refund of deposit except in two cases mentioned below.

1. Any increase to the price that exceeds 10% of the total program cost will entitle you to a full refund of the program cost.

2. A full refund will be granted for canceled programs that arise out of insufficient registration of a cancelled program as explained above and in case of your decision to withdraw because of increase in price. If notice of cancellation is received within 60 days of start of program, and if the spot cannot be filled, the participant will forfeit the entire fee. Any participant who returns home early will not receive a refund. We strongly advise you to take out insurance against irrecoverable cancellation costs. If you are prevented from starting the program for some unforeseen reason, you may transfer your booking to another person. A transfer fee of US$ 50 will be payable, and program cost must be paid in full at time of change.

Medical And Evacuation Expenses

It is the responsibility of the student and the students' family to understand the limits of any medical and evacuation policy, and to provide up-front payment of emergency services when required.

Himalayan Gap Rules And Regulations

If a participant acts in a way that is injurious to himself or herself, other participants on the program, or generally conducts himself or herself in a way that is disruptive to the program, we reserve the right to send the participant home without refund. Participants sent home early or who choose to return for any reason, including sickness, personal emergencies or injury, will be responsible for all medical costs, and will absorb travel and related costs associated with an unscheduled departure.

Travel Documents

Applicant must be in possession of a valid passport for international travel. The date of expiry must be beyond 6 months from the date of arrival in India. Upon enrollment in the program, detailed instructions for acquiring appropriate visas will be mailed to the applicant.

Health Requirements And Safety Considerations

If you have any questions regarding the physical demands of our program, please write to us. In the event of a medical emergency, Himalayan Gap will attempt to procure medical treatment; however, we assume no liability regarding provision of medical care. Applicants are urged to check their insurance coverage for its adequacy when outside of their own country, or to purchase travel health insurance.

General

Any information or advice provided by Himalayan Gap on matters such as permits, visas, vaccinations, climate, clothing, baggage, etc. is given in good faith but without responsibility on the part of Himalayan Gap, and the participant accepts responsibility for obtaining any necessary visas and travel documents required for the program.

Limitations Of Liability

Participants (and their parents if the participant is under the age of 18) will be required to read and sign an "Acknowledgment and Assumption of Risk and Release and Indemnity Agreement" prior to participating in our program.
